Information we collect

Depending on how you use the website or services, we may collect an adult’s name, email address, telephone number and billing address; a child’s name, date of birth or age; the class or programme requested; emergency-contact information; and messages sent to us.

Where relevant to safe participation, we may also ask for medical conditions, allergies, injuries, disabilities, access requirements or other support information. Emergency contact details, relevant health information and permissions are collected through registration or booking information before ongoing participation.

Photography and video consent is expressly recorded rather than assumed. A parent or carer may withdraw permission in writing for future photography or video use.

How we use information

We use information to answer enquiries, arrange trials, administer bookings, take payment, deliver sessions safely, communicate service updates and keep appropriate business records. We may also use limited information to establish, exercise or defend legal claims.

The website will not collect newsletter subscriptions at launch. If email marketing is introduced later, this notice and the relevant consent choices will be updated before sign-ups begin. Service messages about a booking are not marketing.

Our lawful bases

We generally use contract or steps requested before a contract for enquiries and bookings; legal obligation for records we must keep; and legitimate interests for proportionate administration, service improvement and handling concerns. Marketing and promotional photography rely on a separate choice where consent is required.

Health, disability, allergy and similar information may be special-category data. Where Breanna Keown Company collects this information directly from a parent or carer, explicit consent may be used where appropriate. Where a nursery, preschool or school provides it, the setting is responsible for having a lawful basis for sharing it. In either case, we use only what is reasonably needed for welfare, safety and agreed support. Information may also be used where this is necessary to protect someone’s vital interests or to establish, exercise or defend legal claims.

Children’s information

We normally receive a child’s information from their parent or carer, from a setting arranging a session or directly from the booking adult during Breanna’s post-payment follow-up. We use it only for the class, welfare, safeguarding and related administration. We do not use children’s contact details for direct marketing.

Only information needed for delivery is shared with the relevant instructor. This may include the register or child’s name and any relevant medical, allergy, additional-needs, emergency or safety information.

Parents and carers should tell us when emergency, medical, access or other relevant information changes. Updates can be sent to breannakeowncompany@gmail.com.

Who receives information

Breanna primarily manages enquiries and bookings. Relevant information may be shared with the instructor delivering a session on a need-to-know basis. Stripe processes adult contact, billing and payment information for paid bookings. After payment, Breanna contacts the booking adult separately to collect the child registration and safety information needed before attendance. Access to this information is restricted to authorised people. Website enquiries and trial requests may also be processed through WordPress.com, Elementor and Fluent Forms, and correspondence is handled through Google Gmail.

We may share information with professional advisers, insurers, regulators, safeguarding bodies or law-enforcement organisations where reasonably necessary or legally required.

International processing

Some technology providers, including WordPress.com, Google and Stripe, may process information outside the UK. Where this happens, we rely on the provider’s applicable contractual and legal transfer safeguards.

How long information is kept

We keep personal information only for as long as it is needed for the purpose collected, including administration, safeguarding, insurance, accounting and legal requirements. Retention periods vary according to the type of record and may need to reflect an insurer’s requirements.

A detailed retention schedule is being finalised and will be applied to email, forms, Stripe records and working documents. Records are securely deleted or anonymised when there is no longer a valid reason to keep them.

Security

Access to booking and registration information is restricted to authorised people. We use proportionate access controls and share information only with people who need it for their role. No online service can promise absolute security. If a personal-data incident occurs, we will assess it and make any notifications required by law.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict personal information, object to its use, receive certain information in a portable format and withdraw consent. Some rights have legal limits. To make a request, email breannakeowncompany@gmail.com.
